Overview

 

We are seeking a highly organized and proactive Night Operations Management Assistant to support our night shift operations team.  This role is instrumental in ensuring operational continuity through administrative support, shipping coordination, reporting, and workforce documentation.  The ideal candidate has strong attention to detail, enjoys working behind the scenes to keep operations running smoothly, and thrives in a fast-paced, night shift environment.

Shift: Monday – Thursday 3pm – 11:30pm, Friday 4pm – 3:30am with the potential for additional overtime, and Sunday shift support as needed. 

 

Starting Pay Rate: $26.00 per hour to $30.00 per hour

 

Responsibilities

 

Shipping and Documentation Support:

  • Assist with the preparation, review, and tracking of Marine and Alaska routing and bills of lading preparation.
  • Ensure accuracy of shipping documents and timely submission to carriers and internal teams.

Administrative Support:

  • Prepare receiving documents for inbound loads
  • Compile, record, and distribute various reports and established intervals

Operations Reporting and Data Entry:

  • Support preparation and distribution of nightly productivity and labor reports
  • Prepare accuracy reporting and follow up with team members
  • Track team and department KPIs for internal reviews and continuous improvement

Attendance and Record Management:

  • Maintain attendance reporting and documentation for warehouse personnel
  • Escalate attendance discrepancies and trends to the night operations leadership

Onboarding and Training Records:

  • Organize and manage onboarding paperwork and training logs for new hires
  • Coordinating with training leads to ensure compliance with company learning plans

General Support:

  • Assist with communication handoffs between night and day shift
  • Provide backup support for other admin roles or special projects as needed

Crew Leadership

  • Independently manage the Friday night crew, including crew planning, invoicing, loader management
  • All other duties as assigned

Qualifications

  • High school diploma or GED
  • 2+ years of administrative or operations support experience, preferably in a warehouse or logistics environment
  • Working knowledge of warehouse or distribution systems preferred (e.g., WMS, AS400)
  • Proficient in Microsoft Office Suite (Excel, Outlook, Word)
  • Ability to work independently with minimal supervision during overnight hours
  • Strong organizational, communication, and time-management skills
  • Must be detail-oriented and able to manage multiple tasks simultaneously
  • Familiar with Alaska shipping or foodservice distribution a plus
  • Flexibility to work weekends, holidays, and overtime as needed.
  • Must be a team player with a positive attitude and strong work ethic.
  • Ability to pass a drug test and background check
